What is staff software?
Staff software is a system in which you keep the administration around your employees: details, leave, sick leave and rosters. Instead of Excel lists, paper requests and messages via WhatsApp you have everything in one place, with a clear role for each user. Employees see their own data and request leave themselves, managers decide, and administrators have the full overview.
Uniscale's staff software is made for small and medium-sized companies with roughly 10 to 75 employees, especially where rosters and departments are used, such as in transport, rental, education and hospitality.
What can you do with the software?
Personnel file
Job title, department, contract, hours per week and start date per employee, with the related documents in one place.
Request and approve leave
Employees request leave with a digital signature. The manager approves or declines and immediately sees what that means for the planning.
Sick leave
Record sick leave per period. Mark someone as sick on a day and the sick-leave record is created automatically.
Roster and attendance
Weekly rosters per employee with a start date, and a daily overview of who is scheduled and who is actually there.
Documents
Store contracts and other files with the right employee, shielded from anyone who has no business with them.
Minimum staffing level per department
Set per department how many employees must be present at minimum. With every leave request the manager immediately sees how many colleagues are already off on those days and what the staffing level becomes if they approve. If that drops below the minimum, a warning follows.

Planning department: at least 4 of 6 employees present
On Wednesday two colleagues are already off. A third request comes in.

You pay per package, not per employee. All amounts are excluding VAT. The monthly price is fixed, and you also pay a one-off setup fee. Hosting, updates and support are included in every package.

With a price per employee your bill grows with your team. With a package you know in advance what it costs, even if you hire seasonal staff, as long as you stay within the maximum of your package. That makes budgeting easy.

What is staff software?
Staff software is a system in which you keep personnel data, leave, sick leave and rosters. It replaces Excel lists, paper requests and messages via WhatsApp. Uniscale's software runs in the browser and needs no installation.
What does Uniscale's staff software cost?
There are three packages with a fixed monthly price, excluding VAT: Start for €39 (up to 10 employees), Growth for €89 (up to 30 employees) and Plus for €169 (up to 75 employees). For more employees or special requirements we make a custom quote. In addition you pay a one-off setup fee of €150 (Start), €300 (Growth) or €500 (Plus), also excluding VAT. Set-up by us is optional.
What is included in the setup and in the optional set-up service?
The setup is a one-off and mandatory: we create your environment on our hosting and record the agreements about personal data in a data processing agreement. The set-up service is optional and one-off (Start €250, Growth €500, Plus €1,000, excluding VAT): we then prepare departments and employees for you and record the leave rules. If you don't choose it, you get a manual with which you set everything up yourself.
How does the minimum staffing level per department work?
Per department you set how many employees must be present at minimum. For every leave request the manager immediately sees how many colleagues are already off on those days and gets a warning if approving would drop below the minimum. The decision stays with the manager; the system only shows the consequences.
Do I pay per employee?
No. Within a package you pay a fixed amount, whether your team has 12 or 28 people. You only move up to the next package if you exceed the package maximum.
Is my personnel data safe?
Personnel data is confidential. Employees only see their own data and only administrators see the full file. We record agreements on the processing of personal data in a data processing agreement.
Can I run the software on my own server?
Yes, for organisations that don't want personal data in the cloud we offer, on request, a local version with a one-off licence. Get in touch to discuss the options.
Does the software include payroll processing?
No. The software handles personnel administration, leave, sick leave and rosters. A link to your payroll system is possible as custom work.
